Administrative/Project Support Assistant for the EU Agency AMLA in Frankfurt am Main – Interim/Zeitarbeit

We are looking for an Administrative/Project Support Assistant (M/F/D) for a multinational client in Frankfurt/Main, the EU Agency Authority for Anti-Money Laundering and Countering the Financing of Terrorism AMLA.

Client:

  • The Authority for Anti-Money Laundering and Countering the Financing of Terrorism (AMLA) is a decentralised EU agency that coordinates national authorities to ensure the correct and consistent application of EU rules. The aim of the EU Authority is to transform the anti-money laundering and countering the financing of terrorism (AML/CFT) supervision in the EU and enhance cooperation among financial intelligence units (FIUs).
  • At the AMLA you can become part of an international and multicultural team presently in its set-up phase.

 Main tasks:

  1. General Board (GB) stakeholder management
  • Maintain and update the contact database of General Board members, alternates, delegates and their support staff.
  • Process changes in nominations and representation, and keep distribution lists accurate.
  • Handle contact data in line with data protection requirements and forthcoming update campaign we will launch (as the first outreach was done by the taskforce we are increasingly seeing inconsistencies in the information provided, we plan to reach out to all GB members for them to confirm their information but currently lack admin support to launch such work).
  1. Functional mailbox management (GB Secretariat, AMLA@AMLA)
  • Monitor and triage incoming correspondence daily.
  • Register and route messages to the responsible units, and track follow-up and deadlines.
  • Send standard acknowledgements and replies to routine requests.
  • Provide the team with a regular overview of pending items.

 

  1. Support to the ServiceNow transition
  • Map current administrative workflows and document procedures.
  • Support the migration of contact data and mailbox workflows into ServiceNow.
  • Take part in testing and early use, and flag issues.

 

  1. General administrative support, as capacity allows
  • Meeting logistics, calendar management, filing and document management, quality checks on documents (e.g., templates).

 

Qualifications:

  • Secondary Education

Professional Experience:

  • 1-5 years of administrative experience

IT Skills:

  • MS Office package: Outllok, Word, Excel, PPT.
  • Document management experience
  • Management of workflows

Language Skills:

English is the standard working language and therefore a C1 level is required

Other skills and competences:

  • Experience in administrative or secretariat support, ideally in a public or international institution.
  • Strong organisational skills and attention to detail, with the ability to handle high volumes and tight deadlines.
  • Familiarity with ticketing or CRM tools such as ServiceNow an asset.
  • Discretion in handling sensitive information.

Remuneration:

  • Above market level salary
  • German interim employment contract (Zeitarbeitsvertrag/Arbeitnehmerüberlassung)

Location: Frankfurt/Messeturm

Start date: asap

End date: 9 months + possible extension
