Administrative Assistant Legal Unit for the EU Agency AMLA in Frankfurt am Main – Interim/Zeitarbeit

We are looking for an Administrative Assistant Legal Unit (M/F/D) for a multinational client in Frankfurt/Main, the EU Agency Authority for Anti-Money Laundering and Countering the Financing of Terrorism AMLA.

Client:

  • The Authority for Anti-Money Laundering and Countering the Financing of Terrorism (AMLA) is a decentralised EU agency that coordinates national authorities to ensure the correct and consistent application of EU rules. The aim of the EU Authority is to transform the anti-money laundering and countering the financing of terrorism (AML/CFT) supervision in the EU and enhance cooperation among financial intelligence units (FIUs).
  • At the AMLA you can become part of an international and multicultural team presently in its set-up phase.

 Main tasks:

  • Provide dedicated administrative and coordination support to the Legal Unit, including supporting the planning, organisation, follow-up and implementation of the Unit’s internal processes and activities.
  • Administer, maintain and monitor legal documents and records in the Unit’s document repository and case/document management systems, ensuring accurate registration, classification, filing, version control and timely updating of records.
  • Support the day-to-day management and coordination of the Unit’s workflow, including registering, allocating and monitoring tasks; maintaining work plans and trackers; following up on deadlines; coordinating adjustments to priorities and timelines; and monitoring the timely delivery of legal outputs.
  • Support the preparation and finalisation of legal outputs for submission to AMLA decision-making bodies, including ensuring that documents are complete, properly formatted, appropriately referenced and accompanied by the required procedural documentation.
  • Organise and provide administrative support for meetings, workshops and events relating to the Legal Unit’s activities, including scheduling, preparation and circulation of documentation, coordination with participants, logistical arrangements and follow-up of actions.
  • Support administrative and procurement procedures relating to the outsourcing of legal services, including external legal advice, litigation support and translation services, and assist with the preparation and processing of procurement documentation, contracts, purchase orders and related administrative records.
  • Support the Legal Unit’s knowledge-management activities, including the application and maintenance of metadata for legal products, systematic classification and filing of legal materials, retrieval and organisation of legal information, and maintenance of the Unit’s knowledge repositories and tools.
  • Support the monitoring and reporting of the Unit’s administrative activities, including maintaining relevant statistics, trackers and dashboards and preparing periodic information on workload, deadlines, deliverables and the use of external legal services.

 

Qualifications:

  • Secondary Education

Professional Experience:

  • 1-5 years of administrative experience

IT Skills:

  • MS Office package: Outllok, Word, Excel, PPT.
  • Document management experience
  • Management of workflows

Language Skills:

English is the standard working language and therefore a C1 level is required

Technical Competencies

  • Ability to draft clear, accurate and well-structured documents in English.
  • Ability to organise and coordinate meetings effectively, including planning, scheduling and logistical arrangements.
  • Ability to manage complex workflows
  • Draft management reports

Interpersonal competencies

  • Excellent organisational skills, ability to work autonomously and under pressure and/or time constraints.
  • Excellent client/service orientation.
  • Ability to address issues with a problem-solving attitude.
  • Strong communication skills.

Remuneration:

  • Above market level salary
  • German interim employment contract (Zeitarbeitsvertrag/Arbeitnehmerüberlassung)

End date: 9 months + possible extension
