Administrative Assistant for the EU Agency AMLA in Frankfurt am Main – Interim/Zeitarbeit

We are looking for an Administrative Assistant (M/F/D) for a multinational client in Frankfurt/Main, the EU Agency Authority for Anti-Money Laundering and Countering the Financing of Terrorism AMLA.

Client:

  • The Authority for Anti-Money Laundering and Countering the Financing of Terrorism (AMLA) is a decentralised EU agency that coordinates national authorities to ensure the correct and consistent application of EU rules. The aim of the EU Authority is to transform the anti-money laundering and countering the financing of terrorism (AML/CFT) supervision in the EU and enhance cooperation among financial intelligence units (FIUs).
  • At the AMLA you can become part of an international and multicultural team presently in its set-up phase.

 Main tasks:

Meeting and stakeholder support

  • Organise meetings, workshops and events related to Direct Supervision activities.
  • Support Right-to-Be-Heard meetings with selected obliged entities and meetings related to the transfer of powers.
  • Prepare agendas, meeting materials, minutes and action logs.

Case file and document management

  • Support the preparation, compilation and maintenance of case files and supporting documentation for communications with obliged entities.
  • Maintain records, correspondence and documentation related to Right-to-Be-Heard and transfer-of-powers activities.
  • Ensure proper filing, record-keeping and document management.

Governance support

  • Assist with the preparation, submission and tracking of documents requiring Executive Board and General Board review and approval.
  • Maintain trackers of decisions, actions and deadlines.

Unit administration

  • Maintain calendars, contact lists and planning trackers.
  • Support onboarding and training activities for supervisors.
  • Provide administrative support for interactions with NCAs, supervised entities and internal stakeholders.
  • Support the recruitment and onboarding of new staff (e.g. emails, planning interviews etc.)

Qualifications:

  • Secondary Education

Professional Experience:

  • 1-5 years of administrative experience

IT Skills:

  • MS Office package: Outllok, Word, Excel, PPT.
  • Document management experience

Language Skills:

English is the standard working language and therefore a C1 level is required

Other skills and competences:

Technical Competencies

  • Ability to draft clear, accurate and well-structured documents in English.
  • Ability to organise and coordinate meetings effectively, including planning, scheduling and logistical arrangements.

Interpersonal competencies

  • Excellent organisational skills, ability to work autonomously and under pressure and/or time constraints.
  • Excellent client/service orientation.
  • Ability to address issues with a problem-solving attitude.
  • Strong communication skills.

Remuneration:

  • Above market level salary
  • German interim employment contract (Zeitarbeitsvertrag/Arbeitnehmerüberlassung)

Location: Frankfurt/Messeturm

Start date: asap

End date: 9 months + possible extension
