We are looking for a Senior Human Resources Assistant with to work for a multinational client in Frankfurt/Main.

Candidate should be citizen of member states of the European Union (EU nationality).

Location: Frankfurt/Main, Germany

Start date: 04/11/2024

End date: 04/08/2025 (9 months)

Main tasks:

  • Systematically check approximately 20% of candidates successful in recruitment campaigns leading to fixed-term contracts for accuracy of the information provided in their CV on (i) identity (at least address check against copy of ID card/passport provided), (ii) highest educational degree(s) (against certificate(s) provided), (iii) professional experience (in terms of levels, fields and dates of employment) over the past 5 years (against references provided by former employers). Upon explicit instruction by the client, the above criteria shall also be checked with external parties (e.g. local authorities, universities, employers etc.);
  • Manage flow of information, prepare and handle internal and external emails and telephone calls related to the above topic;
  • Report on findings / discrepancies in a structural manner and manage related date storage in line with internal provisions;
  • Time allowing or upon business needs, the deployed agency staff may also be asked to carry out other administrative tasks in the Employee Services Division or other Divisions within the Directorate General Human Resources. Such tasks may involve but shall not be limited to the issuance of certificates or the processing of removal requests, tasks related to the onboarding of newcomers in the Division, tasks related to document management and/or other administrative tasks of a Human Resources Division. The support for ad-hoc administrative tasks shall be carried out within contractually defined working hours. .

Education:

  • Bachelor’s degree in business studies, finance, administration or other relevant subject area (e.g. IT).

Computer skills:

  • Excellent experience with MS Office suite, in particular Word, Excel, PowerPoint and Outlook.
  • Excellent experience with using document management systems (e.g. Open Text).

Language skills:

  • Fluent in English (C1 or C2 level required)
  • German language skills of at least C1 level are considered an asset
  • Other EU languages (C1 or C2 level) is considered as an advantage

Soft skills:

  • Communication skills and the ability to establish and maintain good working relationships with respect to all levels of staff and external parties.
  • Ability and approach to seeking advice from team colleagues and support others.
  • Organisation skills: approach to independently conduct pre-employment screenings and to prioritise work.
  • Ability to work in multinational and diverse teams.
