We are looking for an HR Assistant (M/F/D) for an European Agency in Köln/Germany (interim position)
Job overview
Facilitate the smooth running of the Employee Services section timely, efficiently, and accurately, thereby contributing to
a successful team performance and the achievement of objectives.
Main tasks
Hire to Retire/Employee Lifecycle Management:
-Manage the entire staff journey from recruitment to departure, ensuring a smooth and supportive experience.
-Offer seamless onboarding and offboarding for new hires and departing employees.
-Manage HR employment contracts incl. contract renewals and probationary periods to ensure sound employment conditions and proper evaluation and feedback.
Workforce Planning:
-Plan workforce and allocate resources in accordance with business needs and budget availability, incl. post
management.
Recruitment:
-Manage selection processes to attract and retain the best talents incl. the selection of non-statutory staff.
-Manage the Junior Qualification Programme.
Time and Leave Management:
-Manage working time registration, leaves, and absences in compliance with policies and regulations.
Medical services:
-Manage provision of medical services for staff (occupational health and leave/absences).
HR administrative services:
-Ensure service availability to staff on HR administrative matters.
-Manage protocol matters with the host member state.
Compensation and Benefits Management:
-Manage compensation and benefits matters, including payroll management, individual and family
entitlements/allowances, JSIS/pension, and education /schooling.
Title 1 (staff) budget management
-Manage staff budget forecasting and monitoring.
HR Policies/Regulations & Ethics:
-Manage the implementation of the legal framework (notably Implementing Rules) in HR domain.
-Manage the administrative process for declaration of interests and related matters (i.e. outside and post-employment activities) to ensure transparency and compliance.
-Ensure employee relations functions, including collaboration with staff committee and social partners.
Main competences needed
Good English and communication skills
MS Office package, ideally also SAP
Analytical and critical thinking (to spot e.g. inconsistencies or non-compliance)
Process items quickly and with attention to detail and compliance
Motivation to learn and work in a team
Digital skills
