infeurope is hiring an Administrative Support (F/M) in order to assist in the support and the maintenance of the Portfolio Management Office (PMO).

TASKS :
Standard Portfolio Management Office activities:
– PMO portfolio-level reporting: support the preparation of materials for the regular portfolio reporting cycle. Perform quality assurance on the PMO reporting to management;
– Providing support in the preparation of presentation materials and reports for the Strategic Transformation Committee (STC) and Operational Transformation Committee (OTC);
– Support the set-up and maintenance of SharePoint sites, including publication of content, addition and maintenance of site building blocks and maintenance of access rights;
– Support the continuous demand management process in which all new requests for Initiatives are collected and routed to Value Chains, supporting requestors to route requests to the correct Value Chain for assessment. Provide support to end users in the use of the demand management tool;
– Managing the Initiative Pipeline: perform quality assurance on the Initiative pipeline, Project Charters and Project Change Requests. Supporting business and IT approvers with the pipeline and project approval processes. Ensure that all the audit trails and deliverables required by the procedures are in place. Monitor overall process performance KPIs (such as backlog aging) to ensure that the pipeline is actively managed by the Value Chains.
– Perform testing of the Project Management system (PMIS) after patching campaigns or enhancements.

KNOWLEDGE:
– IT Portfolio Management office and demand management – experience of digital transformation initiatives would be an advantage, as would experience of enterprise level Agile implementation (such as SAFe);
– IT Project Management methodology (PM2, PMP, Prince2 or Agile);
– MS SharePoint;
– MS Office tools, Word, Excel, PowerPoint;
– MS Project and MS Project Server – would be an advantage.

COMPETENCES:
– Experience in IT Project Portfolio Management work according to the requested seniority level;
– Preparation of high quality reports and presentations for senior management; monitoring of project portfolio KPIs and quality control of large IT projects and/or IT programmes;
– Hands-on experience with MS SharePoint, both as an end user and with site owner/ administrator tasks;
– MS Project and MS Project Server previous experience as a user would be an advantage;
– Practical experience and certifications with methodologies related to project and portfolio management, ideally experience of PM2 and Agile methodologies but PMP or PRINCE2 methodologies would also be relevant.
